Pre-Quote Work Orders

View work orders where the quote process has been started and create a new quote work order.

A pre-quote work order requests and gathers cost estimates from service providers before any work is approved. It helps compare quotes and manage the process before deciding which provider to hire.

Navigate to ServiceAuthorizationsPre-Quote.

View the following information:

  • WO #: Unique work order number associated with the quote. Click it to see the pre-quote details.

  • Event/activity: Identifies the specific task or service linked to the work order.

  • Date/time of quote request: Date of the quote work order creation.

  • Response due by: Deadline for providers to submit their quotes.

  • Tagged: Shows work orders tagged for easier filtering. Click the red cross to manage tags.

  • Status: Current state of the quote request:

    • New request: Created or saved without sending to providers.

    • No response: Email sent to providers, but none have replied.

    • Partial response: At least one provider has submitted a quote.

    • All responded: All invited providers have submitted quotes.

  • Quote project: Project associated with the quoted work order.

  • Priority: Level of urgency for the work order.

  • Site name and description: Location and details of the site requiring the quote.

  • Space: Area within the site where the work will take place.

  • Category: Main asset type for the quote work order.

  • Subcategory: Subdivision of the asset type, adding specificity.

  • Account code: Financial code used for billing the work order.

  • Work order description: Brief summary of the required work.

Create new work order for quote

  1. On Pre-Quote, click Create New Work Order For Quote.

  2. Complete the details:

    • Caller: Automatically fills with your name.

    • WO type: Choose between Quote, Normal, or Joint/cooperative.

    • Site: Select the site where the work will take place.

    • Callback: Indicate callback preferences if required.

    • Department: Choose the relevant department.

    • Category and Subcategory: Specify the asset type and its subdivision.

    • Problem type: Select the issue type.

    • Priority: Choose the urgency level.

    • Problem description: Provide details about the issue.

    • Include in asset spend: Indicate whether to include this in asset spend tracking.

  3. Click Create WO.
